How to generate and submit EPF file?

This guide outlines the steps to generate and submit the Employees Provident Fund (EPF) file. To make payments through e-Caruman, you must have an account with KWSP i-Akaun. For online banking payments, you'll need to upload the EPF payment bank file using your bank's portal. Whether you're submitting through online banking or the e-Caruman portal, this guide will help you navigate the necessary steps.


Generating EPF File for Submission


1. Click on the Manage Company option located on the left sidebar.


2. Navigate to the Payroll tab.

 

3. Scroll down to the EPF File section and click to expand it.

 

4. If you are generating a bank file, enter the Payment Date and Batch Number.

Note: For Maybank users, ensure to select the Purpose of Submission under the Payment Date.

 

5. Click Generate Bank File to submit through your bank, or click Generate CSV File to submit via the e-Caruman portal.


 

If you have multiple payroll runs in the same month, select the Generate CSV File button under the Month section to create a combined EPF file. This option is only available for the CSV file.

 


EPF Submission via the e-Caruman Portal


Follow these steps to submit the EPF CSV file through e-Caruman, ensuring you have generated the EPF CSV file from HReasily:

 

1. Visit the i-Akaun (Employer) and enter your User ID, then click Next.


2. Enter your PASSWORD and click LoginVerify that the Secret Phrase is correct before entering your password.

 

3. After logging in, click on Submit Contributions.


4. Confirm the correct Contribution Month before clicking Next.


5. Select the Upload file (TXT/CSV) option and click Next.


6. Click Choose File, select the .csv file exported from HReasily, then click Upload and Next.

 

7. Review the employer and employee contribution amounts for accuracy.


8. Once verified, scroll to the bottom, tick the checkbox to confirm, and click Next.


9. Finally, select a payment method from the available options.
