Check your seats
Go to your billing page. It’s the gear icon located on the top right corner of your browser.
Pay attention to the left panel. The seats column are the ones that you have paid for. Assigned is what you are using. Available is the extra seats that you have. You want to make the available to 0 so you don’t pay for what you don’t use the following month.
The billing estimator on the right shows what you will be paying for the coming month so it’s important to make the available to 0 before the last day of the current month.
Edit your Plan
Reduce the number of seats to match the assigned seats.
Untick the modules if you want to remove them completely. To untick modules, there must not be any seats assigned. You have to remove them first.
Remove assigned seats
- Go to the Assign seats and edit permissions page.
- Filter past employee list and see if any of the resigned employees are still assigned to a seat. If they are, remove them. Untick the checkboxes and hit save.
- Move on to filter the active employees and remove unnecessary seat assignments
This process should be done when an employee resigns too. Remove their seat and permissions.
Confirm changes
Once you have unassigned seats, reduce the seats and/or remove modules, don’t be alarmed that the left panel did not reflect the changes.
The billing estimator has already updated the changes and will show you the charges for the following month.
The left panel is what you have for current month and will not change until the 1st of the following month.
