How to Change an Employee’s Email Address in HReasily

Keeping employee records up to date is important — especially email addresses. For security reasons, HReasily only allows certain users to change employee email addresses. This guide explains who can change an email, how the process works, and what to expect.


Who Can Change an Employee’s Email Address?

Only admins with higher access than the employee can change their email.


To do this, you must:

  • Have the right admin permissions.

  • Have access to all the accounts the employee has access to.

  • Have a higher or equal role level than the employee.

If you don’t meet these conditions, the email edit option will be hidden.

Step-by-Step: How to Change an Employee’s Email

1. From your dashboard, go to Staff Directory.


2. Find the employee and click GO.


3. Click on "click here to edit email" button. This will trigger a verification email to the employee.


4. The employee will receive an email titled "Change Email Verification" from no-reply@hreasily.com. They must click the secure link in the email to proceed.

⚠️ Important Note: The link is valid for 24 hours and can only be used once. If the link expires or is reused, you’ll need to resend the request.


5. Once they click the link, they’ll be taken to a secure page where they’ll enter and confirm their new email address.


If both entries match, the email will be updated, the employee will be redirected to the login page, and the new email becomes their login.


What If the Employee Has Resigned?

If an employee's status is changed to Resigned or Dismissed, and the resignation date has passed:

  • Their admin access will be removed.

  • They will still be able to log in as a regular employee.


This ensures former admins can still access their payslips or tax documents.


Helpful Tips

  • Double-check your admin level before editing another user's email.

  • Ask your team admin if you’re unsure about your access level.

  • For security reasons, all email changes must be verified by the employee.
