Notes: This guide will be updated regularly to keep you updated with the new leave types that we add into Smart Leave feature.




What is HReasily Automated Leave feature?



HReasily Automated Leave is a feature that aims to make it easier for you to keep track of employee's time-off by automatically assign leave types and its leave entitlement to employees based on MOM requirements and certain criteria(s). 


We understand that it might be a hassle to manage and keep track of your growing employees manually. Fret not, now we keep you stay a step ahead always with our new Automated Leave feature. 


Note: This feature is only available for Singapore users at the moment.




What are the leave types available now?



At the initial phase, we have added Childcare Leave and Extended Childcare Leave for Singapore users.




Why can't I see automated leave feature on my account?



HReasily Automated Leave is in its Beta phase. If it has yet to be enabled for you, kindly reach out to support@hreasily.com or contact us through Live Chat Support.


Once enabled, you will see the new smart leave indicated by black info icon located on the left side of leave name, as shown below:




I've reached out to enable Automated Leave and now I see two leave types with the same name on my account.



Considering that we released automated leave feature in the mid of the year, we will not mess up with any existing leave type that you might have. With that said, once the automated leave is enabled, there's a possibility you will see two leave types with the same name, e.g:

  • Childcare leave - existing (old) leave type

  • Childcare Leave - new automated leave



Things to consider before using Automated Leave feature in the mid of the year



Considering that we release automated leave feature in the mid of the year, here are the things you should consider if you wish to enable it now:

  1. We won't be able to move any employee's leave taken from old leave type (e.g: Childcare leave) to new automated leave type (e.g: Childcare Leave) because it is a separate leave type.

  2. If you wish to have leave taken record for the new automated leave, you will need to help employees to update their leave taken (apply backdated leave) in the current year by referring to this guide.

  3. If you enable automated leave in the mid of the year, chance are, employees have taken a fair amount of leave prior to the setup. You might also need to adjust each employees leave entitlement to reflect the correct leave balance that they should have now.



After considering the reasons mentioned above, if you prefer to keep using your existing leave types for the sake of leave taken and leave report in the current year, that's totally fine!


You can start using automated leave feature in the following year by reaching out to our Support Team when it's near to the end of the year (around 31 Dec or 1 Jan).




Childcare Leave - how does it work on this new release?



In this new release, Childcare Leave default setting will be set by system to follow MOM requirements. You can only view the default setting, however this setting is neither can be updated nor deleted:






We also remove the 'Assign to Multiple Employee(s)' button for Childcare Leave. We will automatically assign it to employees who meets certain conditions based on their Next of Kin Info and join date below:



Scenario

Actions

  • Admin add new employees, e.g: employee A

  • No data at Next of Kin Info

  • Employee A hasn’t worked for more than 3 months from join date

We will not assign Childcare Leave for employee A

  • Employee A enter their child data in Next of Kin Info

  • Has youngest child aged less than 7 y.o with any nationality

  • Employee A hasn’t worked for more than 3 months from join date

We will assign 0 days Childcare Leave for employee A

  • Employee A enter their child data in Next of Kin Info

  • Has youngest child aged less than 7 y.o with SG nationality

  • Employee A has worked for minimum of 3 months from join date

We will assign 6 days Childcare Leave for employee A

  • Employee A enter their child data in Next of Kin Info

  • Has youngest child aged less than 7 y.o with nationality other than SG

  • Employee A has worked for minimum of 3 months from join date

We will assign 2 days Childcare Leave for employee A

Once the child age is not less than 7 years old anymore, we will then assign them with Extended Childcare Leave type.



Extended Childcare Leave - how does it work on this new release?



In this new release, we add new leave type: Extended Childcare Leave in the list. 

This leave will use the same approach with Childcare Leave, where user can only view the default setting, but neither it can be updated nor deleted.





We will also automatically assign it to employees who meets certain conditions based on their Next of Kin Info and join date below:



Scenario

Actions

  • Now the youngest child aged between 7-12 y.o with SG nationality

  • Employee A has worked for minimum of 3 months from join date

We will assign 2 days Extended Childcare Leave

  • Now the youngest child aged between 7-12 y.o with nationality other than SG

  • Employee A has worked for minimum of 3 months from join date

We will not assign Extended Childcare Leave for employee A

  • Now the youngest child aged more than 12 y.o with SG nationality

  • Employee A has worked for minimum of 3 months from join date

Employee A should not see Childcare Leave and Extended Childcare Leave in their list anymore




I have employees who've used up some of their leave entitlements, how should I go about it?



Considering that we release this feature mid-way through the year, chance are, employees have taken a fair amount of leave prior to the setup. 


If this happened, we recommend you to adjust/update each employees leave entitlement from their Staff Profile in order to reflect the correct leave balance that they should have now.



Notes:


- You'll also need to repeat the same step whenever you need to pro-rate childcare leave or extended childcare leave for new employees who works less than a year or employees who plans to leave the company.



How do I know that Automated Leave has been assigned to my staff?



  1. Please ensure that you've added Child data (including child birthdate and nationality) located at Staff Basic Info > Next of Kin tab
  2. Please ensure that staff has worked for more than 3 months from their join date
  3. Go to Staff Leave Info, then scroll down to Leave Types
  4. Now, staff is assigned with Automated Leave type based on their Next of Kin data.


Tips:


Please resave Next of Kin info whenever you have added the correct child data (including birthdate and nationality) but still unable to see automated leave assigned under Staff Leave Types tab.





I have requested to enable Automated Leave feature but I think I don't need to use it now. What should I do to remove it?



After enabling the Automated Leave feature, we understand that some of you might prefer to use it starting from the following year instead. 


You may reach out to our Support Team to disable it for you since we don't provide 'Delete' button for automated leave types from company leave page.
